Terms of Service

Effective 12 July 2026 · Last updated 28 October 2026

1.General

These terms of service apply to the Zansen Studio service (hereinafter the “Service”), provided by Zansen Studio Oy (Finnish Business ID 3630838-1; hereinafter “Zansen”, “we” or the “service provider”). By using the Service, creating a user account or making a paid purchase you accept these terms in full.

The Service is primarily intended for professional use, in particular for real-estate agents and other professionals in the real-estate industry. The Service may also be used by private individuals, in which case the mandatory provisions of the Finnish Consumer Protection Act additionally apply to the extent they are applicable. If the user is a consumer residing in another EU country, the mandatory consumer-protection provisions of that country also apply to the extent they afford the consumer greater protection; nothing in these terms limits them.

Purchases (images and storage subscriptions) are available only to customers located in a member state of the European Union. We determine the location from the billing address in the user’s profile or, if no address is given, from the location of the connection. Users outside the EU can create a user account, but cannot make purchases. A user who lives in the EU but is temporarily elsewhere can make purchases by adding a billing address in the profile.

The contract is concluded in English when the user confirms a purchase with the payment button (for example “Pay €X”). Before confirming, the user can review and change the number of photos or the storage size. We store each purchase confirmation together with the consent given with it; both are sent to the user’s email address and are available in the profile under Payment methods and receipts.

2.Description of the Service

The Service is a browser-based application that allows the user to upload digital photographs and have them automatically finished using an AI-assisted process. The finishing includes, among other things, exposure balancing, colour neutralisation and general improvement of visual quality.

As the end result the user receives new, finished versions of their images. The Service also includes gallery management, packaging of images for download and watermarking. The user may also add images to a gallery as they are, without finishing; such images use storage but are not charged as finished images. Adding watermarks is free of charge.

The quality of the end result depends on the quality of the original image. Finishing cannot restore detail that the original does not contain. In particular, images saved or downloaded from websites or listing platforms (which are typically compressed and reduced in size), images with very low resolution, and images taken in poor light or with an older phone camera (visible as noise or blur) may give a noticeably weaker result. Our photo guidelines explain how to get the best result.

AI-produced images are generative in nature. Although the Service aims to keep the content and composition of the original image neutral, the end result may differ from the original in details such as colours, surface materials, small objects or architectural details. The user is responsible for reviewing the images before their professional or public use. This does not limit our liability for defects in finished images (Sections 8 and 12).

Galleries are private. The Service has no public galleries or public sharing links: images are available only to the user and, when necessary to provide and support the Service, to authorised Zansen personnel, whose access is logged (privacy policy, section 10).

Where technically possible, finished images carry embedded content credentials (C2PA metadata) stating that the image has been edited using generative AI.

Finished images are delivered as JPEG files in the 3:2 aspect ratio, typically 2352 pixels on the long edge (smaller if the original is smaller), and can be downloaded in the browser one by one or as a ZIP archive. The Service works in current versions of the major desktop and mobile browsers; no software needs to be installed.

3.User account

Using the Service requires creating a user account. The user must be at least 18 years old, or have reached the age at which they can enter into binding contracts under the law of their country, to create an account. The user undertakes to provide correct and up-to-date information when registering and to keep their credentials safe so that they do not end up in the hands of third parties.

The user is responsible for all activity on their account. If the user suspects unauthorised use of their account, they must notify us without delay at studio@zansen.fi.

The user may delete their account at any time in the settings of the Service. A storage subscription must be cancelled before deletion. An account with an unpaid invoice cannot be deleted until the invoice has been paid. The account that owns a Team billing Organization cannot be deleted until Team billing has been stopped and its final invoice paid (Section 16). After the deletion request the account and its data are kept for seven (7) days, during which signing in again cancels the deletion; after that they are deleted permanently. Fees already charged are not refunded on deletion, except where the user withdraws from a purchase under Section 6 or is entitled to a refund under Section 7. Deleting the account does not remove those rights: a user who has an unused photo balance may ask us to refund it under Section 7 before deleting the account. An account that has not been used for 24 months may be deleted after a notice sent by email at least 30 days in advance.

4.Pricing and payment

Use of the Service is charged per finished image: 0,99€ per image. The only monthly fee is an optional storage subscription (Section 5). A purchase of images totalling less than 9,90€ (fewer than ten images) carries a service fee of 0,99€, which is shown before the payment is confirmed. Prices include value added tax (VAT) at the rate that applies in the country where the user is located: for customers in Finland 25.5 %, and for consumers in other EU countries the VAT rate of their own country. Businesses in other EU countries that provide a valid EU VAT number are invoiced without VAT under the reverse-charge mechanism. Purchases are not available to customers outside the EU (Section 1). Images are paid for when the photos are submitted: the user pays for the photos sent for finishing in the same step, and images cannot be bought in advance. Under Team billing (Section 16), processing billed to a business is invoiced afterwards instead. If an image that has been paid for is not processed (for example, because its upload fails), it is kept in the user’s photo balance and is used for the next photos the user submits (Sections 6 and 7). The photo balance does not expire while the user account exists. Storage on an account without a storage subscription has no size limit: images are kept for the period set out below. To prevent misuse, images added to a gallery as they are (without finishing) are limited to 50 gigabytes per account without a storage subscription. A monthly storage subscription (Section 5) keeps images for longer. The prices in force at any given time are shown in the Service.

Finished images and their originals are kept in the Service for 30 days after delivery, after which they are removed automatically. A correction round restarts the 30 days for that image. The removal date is shown in the delivery email and in the gallery. If the user has a storage subscription, images older than 30 days are kept for as long as it remains active, up to its size. The user is responsible for downloading images to their own device; downloaded files remain the user’s permanently.

Uploads are not limited by storage. Only images older than 30 days count towards a storage subscription. If they exceed its size, we notify the user by email and in the Service. If they still exceed it 14 days after that notice, we remove the oldest of them — only as many as needed to fit the subscription. We email a reminder at least two days before this happens. Accounts without a storage subscription are not subject to this removal; their images follow the 30-day rule above.

Images are charged at the per-image price in force at the time of purchase. Each image purchase is confirmed by the user separately; a saved payment card is never charged for images without that confirmation. The only exception is Team billing, where the business authorises automatic charges to its card in advance (Section 16). The only recurring charge for a user is the renewal of a storage subscription, which is charged on the basis of the authorisation the user gives when purchasing the subscription (Section 5).

Payments are processed through a licensed payment service provider; we never see or store full card details (privacy policy, section 5).

Prices may be changed by notifying the user by email at least 30 days before the change takes effect. If the user does not accept the price change, they may stop using the Service before the change takes effect. A price change does not affect images already paid for or the current billing period of a storage subscription.

5.Changing or cancelling a storage subscription

Processing is charged per image (Section 4) and involves no recurring commitment: if the user stops sending images, nothing further is charged and there is nothing to cancel. Team billing for businesses is stopped as described in Section 16.

A storage subscription is the only recurring purchase in the Service. A user account can have one storage subscription at a time, of one storage size. The size can be changed from the settings of the Service.

A storage subscription is billed monthly in advance and renews automatically at the end of each billing period, at the price in force, until the user cancels it. By purchasing the subscription the user authorises these renewal charges. Each renewal is charged to the payment card of the subscription, and a receipt is sent by email. The next renewal date is shown in the settings of the Service. If a renewal payment fails, we notify the user by email, and the payment is retried during the following two weeks; the user can pay or change the card in the Service. Price changes follow Section 4.

Changing to a larger size takes effect immediately. The price difference for the rest of the current billing period is charged at once to the payment card of the subscription, and the change takes effect only when that payment succeeds. From the next billing period, the price of the larger size is charged.

Changing to a smaller size takes effect at the end of the current billing period: the larger storage stays available until then, and nothing is refunded or credited for it. A change to a smaller size can be made only if the user’s images older than 30 days fit within the smaller size at the time of the change. If they exceed it after the change takes effect, the rules in Section 4 apply. A scheduled change can be withdrawn before it takes effect.

The user may cancel a storage subscription at any time from the settings of the Service. The cancellation takes effect at the end of the current billing period, and fees already charged are not refunded for the remaining period. The purchased storage stays available until the end of the paid period, after which the account returns to storage without a subscription. The user’s images are then kept for at least 30 days from the end of the subscription, after which the 30-day rule in Section 4 applies. If a renewal remains unpaid, the subscription’s storage ends when the subscription becomes unpaid, and the 30-day period runs from that date. A cancellation can be withdrawn before the end of the paid period.

6.Right of withdrawal (consumers)

A consumer has a 14-day right of withdrawal under Chapter 6 of the Finnish Consumer Protection Act, with the limitations below. Before each purchase the user confirms them by ticking a separate box that is never pre-ticked; the purchase cannot be made without that confirmation, and we send it to the user by email together with the order confirmation.

Processed images. Processing an image is digital content that is supplied immediately. Before each photo purchase the user ticks the box “I accept the Terms of Service and want processing to start now, which ends my right of withdrawal.” By doing so the user requests that processing starts immediately and acknowledges losing the right of withdrawal, and the right of withdrawal ends for each image once its processing starts (Chapter 6, Section 16).

Unused photo balance. The user may withdraw from a purchase of images, to the extent that the purchased images have not yet been sent for processing, within 14 days of the purchase. We refund the unused images (and the service fee, if the whole purchase is withdrawn) to the original payment method within 14 days of receiving the notice.

Storage subscription. When the user requests that extra storage is activated immediately and withdraws within 14 days, we refund the payment less a share proportionate to the period from activation until the withdrawal (Chapter 6, Section 27). If it is the first withdrawal of a storage subscription on the account and it is made within 24 hours of activation, we refund the full payment. A withdrawn subscription does not start the 30-day period that follows a cancelled subscription (Section 5): images keep the removal date they had before, and images whose 30-day period has passed are removed in the next daily clean-up. The user may also cancel the renewal of a storage subscription at any time in accordance with Section 5.

To withdraw, send us a clear statement within the withdrawal period, for example by email to studio@zansen.fi, or use the model withdrawal form below. The withdrawal instructions below explain the time limit, the procedure and the refund in full. We confirm receipt of a withdrawal by email without undue delay.

Withdrawal function. You can also withdraw in the Service: in your profile, under Payment methods and receipts, choose “Withdraw from contract here” next to the purchase or storage subscription, give your name and confirm. The function is available throughout the withdrawal period, and we send a confirmation of receipt to your email address with the date and time of the withdrawal.

Withdrawal instructions

These instructions apply to consumers. The right of withdrawal is governed by Chapter 6 of the Finnish Consumer Protection Act.

Right of withdrawal. You have the right to withdraw from a contract made in the Service within 14 days without giving any reason. The withdrawal period ends 14 days after the day the contract was made: for a purchase of images, the day of the purchase; for a storage subscription, the day it was activated.

How to withdraw. To exercise the right, inform us (Zansen Studio Oy, Sompasaarenlaituri 10, 00540 Helsinki, Finland, studio@zansen.fi) of your decision by an unequivocal statement, for example an email or a letter, or use the withdrawal function in your profile, under Payment methods and receipts. You may use the model withdrawal form below, but it is not obligatory. To meet the deadline, it is enough that you send your notice before the withdrawal period ends.

Effects of withdrawal. If you withdraw, we refund all payments received from you for the withdrawn contract without undue delay and in any event within 14 days of the day we receive your notice. We refund using the same means of payment you used, unless you expressly agree otherwise; the refund is free of charge for you. If you asked for a storage subscription to start during the withdrawal period, you pay an amount proportionate to the period from its activation until you informed us, compared with the full billing period (Chapter 6, Section 27); your first storage withdrawal within 24 hours of activation is refunded in full. The right of withdrawal does not apply to an image once its processing has started at your request and with your acknowledgement that the right ends (Chapter 6, Section 16).

Model withdrawal form

Complete and return this form only if you wish to withdraw from the contract.

  • (*) Delete as appropriate.

7.Refunds

We refund charged amounts in the following situations:

  • An image that could not be processed. If an image fails to upload, it is credited back to the user’s photo balance automatically. If the finishing of an image fails due to a temporary error, the user can retry it free of charge in the Service. If an image cannot be finished due to a reason attributable to us, we credit it back to the photo balance. If the Service repeatedly fails to process the user’s images due to a technical reason attributable to us and the issue cannot be resolved within a reasonable time, we refund the amounts charged for those images. For photos billed to an Organization under Team billing, these credits are made to the Organization instead and deducted from its next invoice (Section 16).
  • Unjustified charge. If the user has been charged for a purchase they did not make, or the amount of the charge is incorrect, we refund the unjustified charge in full.
  • A correction that does not succeed. If a finished image cannot be corrected to an acceptable result under Section 8, we may credit the image back to the user’s photo balance.
  • Credited images you no longer need. Images credited back to the photo balance under this Section (for example after a failed upload) are refunded to the original payment method instead, if the user asks us to.

Refund requests must be sent to studio@zansen.fi within 30 days of the charge. We process the request within a reasonable time, at the latest within 14 days of receiving it. The 30-day period applies to business customers; it does not limit a consumer’s statutory rights (Section 12).

8.Corrections

If a finished image has a fault, the user can report it in the Service. Corrections are free of charge:

  • Each finished image has one automatic correction round.
  • After that, the user can send the image to our studio, where a retoucher finishes it. We aim to return the image to the gallery within 24 hours. An image can be sent to the studio twice; after that our team reviews the case.
  • If an unusually large share of the images in a gallery is reported, we review the gallery as a whole before further corrections.

Corrections cover faults in the finishing. They cannot add detail that the original image does not contain (Section 2). Images added to a gallery as they are, without finishing, are not eligible for correction.

The correction rounds above are a service we offer in addition to the user’s statutory rights. The number of rounds does not limit a consumer’s rights in the event of a defect (Section 12).

9.User obligations

The user undertakes that:

  • they hold the rights to the uploaded images (as the photographer, rights holder or licensee of the rights),
  • the uploaded images do not infringe third-party copyrights, privacy, honour or other rights,
  • they do not use the Service for unlawful purposes or purposes contrary to good practice, including the production of illegal or harmful content,
  • they do not attempt to disrupt the operation of the Service, circumvent technical restrictions or use the Service in an automated manner not intended for normal use,
  • they disclose, where the law or the listing platform they use requires it, that the images have been edited with artificial intelligence, and they do not use finished images to misrepresent the actual condition, features or surroundings of a property,
  • they do not remove the content credentials (C2PA metadata) embedded in finished images in order to conceal that the image has been edited.

If the user breaches these terms or stores unlawful content in the Service, we may restrict, suspend or terminate the user account. We inform the user of the restriction and its reasons by email without undue delay, unless the law prevents it, and the user may contest the decision by replying to that email. In serious cases we reserve the right to claim damages.

Anyone can report suspected unlawful content stored in the Service to studio@zansen.fi. The same address is our single point of contact under the EU Digital Services Act for users and for authorities.

10.Copyright and use of images

The user retains all rights to both their original images and the images processed in the Service. The user grants Zansen only the usage rights necessary for the technical delivery of the Service (receiving the image, temporary storage, processing in the AI service and delivery back to the user).

Zansen does not use the user’s images in its advertising, marketing or as training material for AI models without separate, express permission from the user.

The user’s original images are retained in the Service for as long as the finished images (Section 4) and are deleted together with them. The user may delete their images at any time in the Service and may request deletion of their data at any time.

11.Availability of the Service

We aim to keep the Service available around the clock. We do not, however, guarantee uninterrupted use. The Service may experience maintenance breaks, disruptions caused by third-party services (for example outages of our hosting, payment or AI providers) and other technical issues.

We aim to give advance notice of planned maintenance breaks and to fix disruptions as quickly as possible.

We update the Service continuously. A consumer is provided with the updates, including security updates, that are necessary to keep the Service in conformity with the contract (Chapter 5a of the Finnish Consumer Protection Act). Updates do not require any action from the user, because the Service runs in the browser.

12.Limitation of liability

For business customers, the Service is provided “as is”: we give no express or implied warranties that the Service meets the user’s specific needs, that it operates without interruption or error, or that AI-produced images always meet the user’s expectations.

If the user is a consumer, the provisions of the Finnish Consumer Protection Act on digital content and digital services (Chapter 5a) apply to defects in finished images and in the storage subscription. A consumer is entitled to have a defective image corrected (Section 8) and, if the correction fails or is not made within a reasonable time, to a price reduction or a refund of the price paid for the image. A consumer is entitled to have a defect in the storage subscription remedied and, if it is not remedied within a reasonable time, to a price reduction or to terminate the subscription. A consumer is also entitled to compensation for damage caused by a defect as provided in the Consumer Protection Act. Nothing in these terms limits those statutory rights, and the two limitations below apply only to business customers.

Towards business customers, Zansen is not liable for indirect, incidental or consequential damages, such as lost profits, lost sales, business interruption or damages incurred by third parties, even if Zansen has been informed of the possibility of such damages.

Towards business customers, Zansen’s maximum liability for an individual damage event is limited to the amount the user has paid for the Service during the six (6) months preceding the damage. This limitation of liability does not apply to damage caused intentionally or through gross negligence.

13.Processing of personal data

The processing of the user’s personal data is described in a separate privacy policy. We use the data only to deliver the Service, for billing and for communicating with the user.

If the user uses the Service in their business or profession and the uploaded photographs contain personal data of other people (for example residents or their belongings), the user is the controller of that data and Zansen processes it on the user’s behalf. The data processing addendum below applies to such processing.

Data processing addendum (business customers)

Scope and roles. This addendum applies when the user uses the Service in the course of a trade, business or profession and the photographs they upload contain personal data of other people, such as residents, owners or persons who appear in a photograph. For that data the user is the controller and Zansen Studio Oy is the processor within the meaning of Article 28 of the General Data Protection Regulation (GDPR). It does not apply to consumers; the processing of the user’s own data is described in the privacy policy.

Subject matter, nature, purpose and duration. Zansen processes the photographs by receiving them, storing them temporarily, finishing them with an AI-assisted process, adding watermarks on request and delivering the results back to the user, solely to provide the Service. The data types are the image content and file metadata; the data subjects are the persons whose personal data appears in the photographs. The processing lasts for as long as the images are kept in the Service (Section 4) or until the user deletes them or their account (Section 3).

Instructions. Zansen processes the data only on the user’s documented instructions, which are given through the functions of the Service and these terms, including with regard to transfers to third countries, unless EU or Member State law requires otherwise, in which case Zansen informs the user before processing unless the law prohibits it. Zansen informs the user without delay if, in its opinion, an instruction infringes the GDPR or other data protection law.

Confidentiality and security. Persons authorised to process the data are bound by confidentiality. Access to stored images is limited to what is necessary to provide and support the Service, and it is logged. Zansen implements the technical and organisational measures described in the privacy policy, section 10 (Article 32).

Sub-processors. The user gives a general authorisation to engage the categories of sub-processors listed in the privacy policy, section 5, for the purposes stated there. Zansen discloses the identity of each sub-processor to the user on request, under confidentiality. Zansen informs the user by email at least 30 days before adding or replacing a sub-processor; if the user objects, they may stop using the Service and delete their account before the change takes effect. Sub-processors are bound by data protection obligations equivalent to those in this addendum, and Zansen remains liable to the user for their performance.

Assistance. Taking into account the nature of the processing and the information available to it, Zansen assists the user with appropriate technical and organisational measures in responding to requests from data subjects (Articles 12 to 23) and in complying with the obligations on security, breach notification and data protection impact assessments (Articles 32 to 36). Zansen notifies the user without undue delay after becoming aware of a personal data breach that affects the user’s data.

Return and deletion. The user may download their images at any time, which returns the data to the user. At the end of the provision of the Service the data is deleted in accordance with Sections 3 and 4, unless EU or Member State law requires it to be stored. Copies held by the AI model provider are deleted within 30 days of processing, and deleted data disappears from database backups within 30 days; image files are not included in those backups (privacy policy, section 7). On request, Zansen confirms the deletion in writing.

Information and audits. Zansen makes available to the user the information necessary to demonstrate compliance with Article 28 and allows for and contributes to audits, including inspections, conducted by the user or an auditor mandated by the user. Audits are conducted primarily on the basis of written information and the certifications and reports of Zansen’s sub-processors. An on-site inspection requires 30 days’ written notice, takes place no more than once per calendar year unless a supervisory authority requires otherwise, is carried out during business hours without disrupting the Service, at the user’s cost and under confidentiality.

Transfers. Transfers outside the EU are described in the privacy policy, section 6.

The user’s responsibilities. The user is responsible for having a lawful basis for photographing and processing the personal data, for informing the data subjects where required, and for not uploading special categories of personal data (Article 9) unless the law permits it.

Liability. Each party is liable in accordance with Article 82 of the GDPR. Section 12 applies to the parties’ liability towards each other.

14.Changes to the terms

We may change these terms of service for a valid reason: a change in legislation or regulatory guidance, a security or technical requirement, a change in our service providers, or a change in the features or pricing of the Service. We notify users of material changes by email at least 30 days before the changes take effect. By continuing to use the Service after a change takes effect the user accepts the new terms. If the user does not accept the changes, they may stop using the Service and cancel any storage subscription before the change takes effect. If a change to the Service or to these terms affects a consumer’s use of the Service more than insignificantly, the consumer may terminate the contract free of charge within 30 days of receiving the notice or of the change taking effect, whichever is later, and we refund the unused part of the storage subscription’s billing period.

15.Governing law and dispute resolution

These terms of service are governed by the laws of Finland, excluding its conflict-of-law provisions. This choice of law does not deprive a consumer of the protection of the mandatory provisions of the law of the EU country in which they reside. Any disputes are primarily resolved amicably through negotiation.

If an amicable settlement cannot be reached, the dispute is resolved in the district court of the user’s domicile if the user is a consumer, and otherwise in the District Court of Helsinki.

A consumer customer has the right to refer a consumer dispute to the Finnish Consumer Disputes Board. More information: www.kuluttajariita.fi.

Before referring a dispute to the Board, a consumer in Finland may contact the Consumer Advisory Services of the Finnish Competition and Consumer Authority (kkv.fi/kuluttajaneuvonta). A consumer residing in another EU country may also contact the European Consumer Centre of their own country (ECC-Net), which assists in cross-border disputes.

16.Team billing for businesses

Scope. Team billing lets a business have the processing of the user accounts it authorises billed to it on one invoice. When Team billing is activated, the business (the “Organization”) becomes the customer and contracting party for all processing billed to it, and these terms, including this Section 16, apply to it. The admin who activates Team billing confirms that they are authorised to do so on behalf of the Organization. Team billing is available only to businesses with a Finnish Business ID or an EU VAT number. It is not available to consumers, and Section 6 does not apply to processing billed to an Organization.

Admins and Members. The user account that sets up Team billing becomes the owner and an admin of the Organization. Ownership can be transferred to another admin in the Service. The account remains a personal user account: purchases made with it before Team billing, including any photo balance, remain the account holder’s own. Admins can invite other user accounts to Team billing (“Members”). Invitations added before the card is saved are sent when Team billing becomes active. A Member joins only by accepting the invitation in their own account and can belong to one Organization at a time. Admins may set a monthly photo limit for a Member.

Responsibility for Members. The Organization is solely responsible for which accounts it authorises and for ending a Member’s authorisation, for example when an employee leaves. All processing by an authorised Member until the Organization removes the Member in the Service is billed to the Organization. Zansen does not monitor employment or other relationships between the Organization and its Members, and removes a Member’s authorisation immediately when an Organization admin does so in the Service.

What is billed to the Organization. Photos that a Member sends for finishing with the Organization as the payer are billed to the Organization at the per-image price in force when the photos are submitted (Section 4). Value added tax is shown on the invoice as it applies to the Organization. The Member does not pay for these photos and receives a usage confirmation, not a receipt or an invoice. Photos that a Member pays for themselves, for example beyond their monthly limit or while Team billing is paused, are the Member’s own purchases under Section 4: they are receipted to the Member, never to the Organization, and the Organization is not charged for them.

Billing period and invoices. Usage is billed per billing period of one month, or two weeks if so agreed, starting on the date Team billing is activated. At the end of each billing period we issue one invoice to the Organization for its usage not yet invoiced, with one line per Member showing the Member’s email address and number of photos. Credits for photos that could not be processed (Section 7) are deducted from the Organization’s next invoice. If the amount for a billing period is below the minimum card charge of 0,50€, no invoice is issued and the amount is carried over to the next billing period.

Credit limit and interim charges. Each Organization has a credit limit: the largest number of photos that can be processed and not yet paid for. The current limit is shown to the Organization’s admins in the Service. We set the limit and may change it, and admins can request a higher limit in the Service. When a submission would take the unpaid usage over the limit, we immediately invoice and charge the usage accumulated so far (an interim invoice) and then process the submission. The limit starts again from zero once the interim invoice has been paid. An admin can also have all usage not yet invoiced invoiced and charged to the card at once. The invoice at the end of the billing period covers the usage since the last interim invoice. We notify the Organization’s admins when the unpaid usage reaches 80% of the limit.

Authorisation to charge the card. Team billing requires a payment card. Team billing becomes active when an admin saves the card and gives this authorisation on behalf of the Organization: the Organization authorises Zansen Studio Oy to charge the card automatically, without asking for confirmation each time, for (a) the invoice at the end of each billing period, (b) interim invoices when the credit limit is reached, (c) the final invoice when Team billing is stopped, and (d) new attempts to collect any of these invoices if a charge fails. Every charge corresponds to an invoice issued to the Organization. The card can be replaced at any time, and an admin gives the same authorisation for the new card. The card cannot be removed while there are unpaid invoices or usage not yet invoiced; once everything has been paid, an admin can remove it, and Team billing is paused until a card is added again.

Failed payments. If a charge fails, or the card can no longer be charged, Team billing is paused until the invoice has been paid or a working card has been added: new photos can no longer be sent for finishing with the Organization as the payer, and corrections and retries of photos billed to the Organization are paused. If the bank requires a charge to be confirmed, Team billing is paused until it has been confirmed. Processing already in progress is completed, finished photos can always be downloaded, and Members can continue by paying for photos themselves. We notify the Organization’s admins with a link for paying the invoice and retry the charge automatically during the following two weeks. Team billing resumes automatically once the invoice has been paid.

Late payment. Invoices are due on the invoice date. On amounts not paid when due, we may charge late payment interest in accordance with the Finnish Interest Act (633/1982) as it applies to agreements between businesses.

Galleries and data. Team billing does not give the Organization any right to a Member’s account, galleries or images. These always belong to the account holder, including after the Member leaves the Organization or the Organization stops using Team billing. The Organization’s admins can see billing information for processing billed to the Organization: each Member’s name and email address, the number of images, the gallery name and the date. They cannot see the images themselves or a Member’s own purchases. The privacy policy describes this in more detail.

Extra storage for Members. An admin can choose extra storage (25 GB or 100 GB) for Members. It is a monthly subscription of the Organization at the storage prices in Section 4, charged in advance to the Organization’s card on file under a separate authorisation given when the subscription starts. Storage added for Members is prorated on the next monthly charge; storage removed is not refunded for the month already paid. A Member’s photos are then kept beyond 30 days up to the chosen size, in addition to any storage plan of their own. The Organization can cancel at any time; the storage remains until the end of the paid month. When extra storage ends for a Member — because the subscription ends or is not paid, the admin removes it, the Member leaves the Organization or Team billing is stopped — we notify the Member by email, and all their photos stay available for 30 days from that moment. After that, the Member’s photos are kept as on the free plan (Section 4) or under their own storage plan.

Stopping Team billing. The owner of the Organization can stop Team billing at any time in the Service. Processing billed to the Organization then ends immediately, and we issue a final invoice for all usage not yet invoiced and charge it to the card. A final amount below 0,50€ is not charged. Once the final invoice has been paid, Team billing ends, all Members’ authorisations end and the card can be removed. Members keep their accounts, galleries and photos. Until then, the user account that owns the Organization cannot be deleted (Section 3).

Other terms. For an Organization, the amount paid referred to in Section 12 means the amount the Organization has paid under Team billing. Notices to the Organization under these terms, including notices of changes under Section 14, are sent to its admins and to its invoice email address.
